Building, hotel and task management

One platform to run buildings, hotels and the teams that keep them working

TaskLoop is an operations platform for building management, hotel management and task management. Every request is logged, assigned to a named person, completed with proof and rated, so nothing depends on a phone call or a chat thread.

Without a system, work piles up

  • Requests get lost between the person who heard them and the person who does the work.
  • Nobody owns the task, so two people do it, or nobody does.
  • There is no record of when work started or finished, and no proof it was done.
  • Managers find problems through complaints.

The loop

How it works

  1. Request

A hotel guest scans the QR code in the room, a resident reports a leak to the building office, or a supervisor logs a job in the dashboard. The request arrives with a location, a category and the details.

  2. Assign

The front desk, building office or team supervisor assigns it to a person or a department, with a priority, a deadline and instructions.

  3. Act

The housekeeper, technician or crew member gets a push notification on the staff app, accepts the task, updates the status and closes it with an optional photo. Overdue work escalates to a supervisor.

  4. Rate

The guest rates the service once the task is complete. Managers see completion rates, response and completion times, staff performance and ratings in one place.

The problem: work that lives in phone calls, paper and chat groups

Most operations teams do not lack effort. They lack a single place where requests are written down, owned and closed. In a hotel, a guest calls reception for towels, reception calls housekeeping, and the request survives only as long as someone remembers it. In a residential or commercial building, a resident messages the building manager, who forwards a photo to a technician on WhatsApp. On a cleaning contract or a campus, the supervisor hands out jobs on paper at the start of the shift and finds out at the end which ones were missed.

Each of these methods works on a quiet day. On a busy day they fail in the same ways:

  • Requests are lost between the person who heard them and the person who has to do the work.
  • Nobody owns a task, so two people do it or nobody does.
  • There is no record of when the work started or finished, and no proof it was done.
  • Managers cannot see the open workload, so they find problems through complaints.
  • There is no data to show which team is overloaded or which type of request keeps coming back.

What TaskLoop consists of

TaskLoop is made of three connected apps, one for each person in the loop.

The request app. In a hotel, every room has its own QR code. The guest scans it, chooses what they need, follows the request while it is handled and rates the service at the end. No phone call is needed. In buildings, the same mechanism lets residents and tenants report issues from a QR code in their unit, a common area or on an asset.

The admin dashboard. Reception, the building office or a supervisor registers requests, including the ones that still arrive by phone or at the desk. They assign each task to a person or a department, set a priority, a deadline and instructions, and see every open request and each department’s workload in real time.

The staff mobile app. Housekeepers, technicians and crew members receive tasks with push notifications, accept them, update their status and complete them with an optional photo and a completion timestamp. If a task runs past its deadline, it escalates to a supervisor.

Behind the three apps, reports show task completion rates, response and completion times, staff performance and guest ratings.

One platform for buildings, hotels and teams

TaskLoop has three equal parts because the underlying job is the same. Someone asks for something, someone is made responsible, the work gets done and someone checks it. Only the vocabulary changes:

Who asks Who assigns Who acts
Building management Residents, tenants, the building manager Building office, facility manager Maintenance technicians, cleaners, security
Hotel management Guests, front office, other departments Reception, duty manager Housekeepers, engineering, room service
Task management Clients, site managers, supervisors Supervisors, coordinators Frontline crews of any kind

Running all three on one platform means one way of working for organisations that cross the lines, such as serviced apartments, mixed-use towers or facility management companies with both hotel and residential contracts. Staff learn one app. Managers read one set of reports.

What changes for managers

The biggest change is visibility. Instead of asking around, a front-office manager, chief engineer or facility manager opens the dashboard and sees what is open, who has it and what is late. Escalation brings overdue work to a supervisor before it becomes a complaint. Photo proof and timestamps settle the question of whether a job was done. Over weeks, the reports show where response times slip and which requests repeat, which is the information you need to staff shifts and plan maintenance.

Questions people ask

What is TaskLoop?

TaskLoop is an operations platform with three equal parts, building management, hotel management and task management. It consists of a request app opened by QR code, an admin dashboard where requests are registered and assigned, and a staff mobile app where the work is accepted, updated and closed with an optional photo. TaskLoop is a product of RozaMoon LLC, a software company founded in 2023.

Is TaskLoop a hotel PMS or a building automation system?

Neither. A hotel PMS runs reservations and billing, and a building automation system controls equipment such as HVAC. TaskLoop runs the operational work around them, which means requests, assignments, follow-up, proof and reporting. It works alongside a PMS such as OPERA, Cloudbeds or Mews, and alongside whatever controls your plant room.

Who uses TaskLoop day to day?

Front-office and reception teams, building managers and community managers register and assign requests in the dashboard. Housekeepers, maintenance technicians, cleaners and other frontline staff receive and complete tasks on the staff app. Executive housekeepers, chief engineers, facility managers and general managers use the reports to see what was done, how fast, and by whom.

Does TaskLoop replace our WhatsApp groups?

For work, yes, that is the point. A chat group mixes requests with greetings and photos, has no owner per task and no record of when work was finished. In TaskLoop each request becomes a task with one assignee, a priority, a deadline, a status and a completion time, and overdue tasks escalate to a supervisor instead of scrolling out of view.

Do guests need to download an app to make a request?

In a hotel, the guest scans the QR code placed in the room and submits the request from there, with no phone call needed. They can follow the request while it is being handled and rate the service when it is finished. Staff use the staff mobile app, and managers and reception use the dashboard.

Can we use TaskLoop for more than one property or team?

TaskLoop is built around departments, staff and requests, so the same model applies whether you run one hotel, a residential tower or a cleaning crew. How multiple sites are set up for your organisation is part of the demo and the quote, because it depends on how your teams are structured and who should see what.

How much does TaskLoop cost?

Pricing is quote-based. It depends on the size of your property or team and what you need, such as the number of rooms or units, the number of staff users and the modules you use. A free demo is available, and we send a quote after we understand your operation.

How do we get started?

Book a free demo through the contact form, by email at dev@rozamoon.com, or on WhatsApp. We walk through your current request flow, show the three apps on a setup close to your operation, and then prepare a quote. Rollout planning, such as departments, staff accounts and QR placement, follows from there.
